Job purpose
The Technology Operations Team Administrator supports the Director of Technology Operations by managing communication, scheduling, documentation, and project coordination while also administering key technology systems across BELAY. This hybrid role combines operational and technical responsibilities, ensuring efficient workflows, accurate system access, effective ticket management, and well-maintained device and software environments. The position plays a critical part in enabling the Director’s priorities, supporting the Technology Operations team, and maintaining smooth day-to-day operations across BELAY’s fully SaaS-based environment.
Duties and responsibilities

Technology Operations Director & Team Support
- Serve as a liaison for the Technology Operations Director, managing communication, inbox, scheduling, and priorities.
- Anticipate the Director’s needs by preparing correspondence, gathering data and context, organizing materials, and proactively aligning upcoming meetings, communications, and follow-ups.
- Coordinate all meetings for the Director, ensuring scheduling, agendas, notes, and follow-ups are managed effectively.
- Manage travel arrangements, expenses, and reimbursements, ensuring accuracy and compliance.
- Maintain and regularly audit leadership dashboards, reports, SOPs, and team documentation for accuracy and visibility.
- Support task and project management, including meeting preparation, team initiatives, and professional development activities.
- Oversee contract renewals, procurement tracking, and tech stack audits in collaboration with the Director and vendors.
- Collaborate with the Tech Ops team to track updates, escalate needs, and ensure alignment.
- Plan and coordinate professional development and team engagement activities.
- Perform ad-hoc projects and operational priorities as assigned.
Technology Operations - Systems Administration
- Support internal team members and new employees with onboarding, crossboarding, and offboarding processes.
- Manage account provisioning, device management (Apple Business Manager, Mosyle MDM), and IT training throughout the employee lifecycle, ensuring accuracy, timely access, and a seamless technology experience.
- Respond to internal support requests via the ticketing system, resolving or escalating as needed.
- Support Mac (majority) and PC users, troubleshooting system and application issues remotely.
- Manage BELAY’s device lifecycle: ordering, tracking, updating, maintaining, and retiring hardware using Salesforce and MDM.
- Maintain device and software security by identifying vulnerabilities, supporting updates, and ensuring compliance.
- Assist in testing and implementing new technologies, tools, and integrations across BELAY.
- Document technical processes, workflows, and user guides.
- Conduct audits to identify inefficiencies and recommend process improvements.
- Partner with the Director of Technology Operations on key initiatives and system integrations supporting BELAY’s goals.
Qualifications

- Experience supporting senior leaders and/or providing IT or systems support
- Exceptional attention to detail, organization, and time management
- Tech-savvy, eager to learn, and adaptable to evolving systems
- Strong problem-solving and proactive decision-making skills
- Excellent verbal and written communication; professional poise
- Familiarity with project management tools for task coordination, deadline tracking, and project oversight
- Familiarity with collaboration tools such as Zoom and Slack
- Ability to prepare, file, and track expenses and budgets
- Able to work independently with little direction in a fast-paced environment
- Preferred but not required:
- Mac and PC support experience, including device setup, troubleshooting, and remote support
- Salesforce experience (ticketing, testing, documentation, and admin call participation)
- Knowledge of device lifecycle management and MDM tools (Apple Business Manager, Mosyle)
Working conditions
